Will be primarily responsible for making sure employees are paid accurately and on time. This position will manage multi-state payroll functions, including the company's third party payroll administrator, ADP, ensuring the accurate calculation of employee paychecks, withholding taxes, SUI, commissions, and any other deductions, as well as maintaining accurate payroll records for Advance
Alarms, Inc. This position requires expertise level of ADP WorkForce Now and multi-state payroll recordkeeping. Knowledge of payroll laws and practices to ensure multi-state and federal required reports are filed timely and accurately.

Detailed Description:

  • Administer and ensure compliance with the federal and multi-state tax laws, including remittance of multi-state payroll taxes.
  • Oversee and ensure accuracy in the fillings of company payroll taxes and reports.
  • Ensure all wage and hour laws and employee benefit laws are complied with as it pertains to an employees paycheck and company payroll policies.
  • Manage and administer the companys payroll software/third party administrator and other technology tools to ensure that payroll processes are accurate and efficient.
  • Oversee all company multi-state payroll processes to ensure efficiency and effectiveness and work to develop and recommend new processes to keep payroll current, accurate and reliable.
  • Maintain employee payroll records to ensure confidentiality and accuracy.
  • Perform payroll data reconciliations to ensure accuracy.
  • Check for accuracy in payroll and commission reports, figures and postings to general ledger.
  • Reconcile and report any discrepancies found in the records.
  • Management of payroll deductions follow legal requirements and ensure proper management of garnishments.
  • Create and maintain streamlined processes and procedures to efficiently and effectively obtain location and hours worked by employees. Communicate expectations with employees to ensure their accurate and timely recording of their hours worked and location.
  • Assist payroll clerk with her duties as required or when necessary to ensure accurate data is collected and processed accurately by ADP Workforce Now.
  • Perform/provide payroll payment status inquiries as needed.
  • Support safe work habits and contribute to a safe working environment at all times.
  • Assist the Accounting manager and Human Resources Manager with duties as assigned.
  • Maintain an efficient work environment.
  • Respond and attend all requests for company meetings.
  • Maintain regular and consistent attendance.
  • Maintain confidentiality regarding Companys financial and customer information.

Qualifications/Requirements

Professional Experience:

  • Minimum of three (3) years ADP WorkForce Now administration preferably and experience managing multi-state payrolls.
  • Knowledge of payroll industry software tools, specifically ADP WorkForce Now in managing multi-state payroll processes.

Licenses, Certifications, Credentials, or Other Requirements:

  • Exposure to Sedona, Manitou, and ADP software, preferred.

Knowledge, Skills & Abilities:

  • Excellent communication skills.
  • Strong knowledge of federal and state tax laws; wage and hour laws and employee benefit laws.
  • Proficient with Microsoft Office & other computer systems.
  • Strong computation skills.
  • Interacting positively with all levels of employees and personality types.
  • Able to work independently, efficiently, and willingness to help others as needed.
  • General knowledge of accounting processes and procedures.
  • Computer literacy, including programs (ADP WorkForce Now) and spreadsheets.
  • Meticulous attention to detail and accuracy.
  • Strong organizational skills.
  • Research and data collection skills.
  • Time management expertise.
  • Adept at problem identification and resolution skills.
  • Ability to manage interruptions, establish work priorities, handle stress & effectively function in a fast paced environment.
  • Extremely reliable and dependable.
  • Must be able to learn other accounting software systems.
